What's new in 2.0 — Part 3

Part 3 of 2.0. These changes are part of version 2.0, which is installed fresh: it does not open the data of 1.2.1 (see What's new in 2.0). Where this page speaks of installing it over your current version, or of a first start that backs up and updates your data, that is how later updates of 2.0 install.

This version tracks lots from receipt to sale, prints labels and pick lists, warns you before cash runs short, e-mails reports on a schedule, records your business expenses, runs big imports and exports in the background and pulls from Walmart on a schedule. How you work does not change. Install it over your current version like any update: the first start backs up your data, then updates your databases once (your figures stay exactly as they are). See How to install an update.

Lots from receipt to sale

  • Where did each lot go? Reports › Lot History › Per lot shows, for each lot, how many units were received, sold, returned, removed, written off, used in kits and found, how many are on hand and how many should be. Removals made before version 1.2.0 cannot be traced to one lot: they are shown on a Not recorded per lot line instead of being guessed. See Chapter 8.
  • Count a lot. Fulfillment › Lot Reconciliation lists each lot's expected and actual stock per warehouse. Count books a difference as a correction, and the count is kept as the lot's last count. See How to count a lot.
  • Expiry dates for FEFO products. A product costed FEFO (earliest expiry first) now always needs an expiry date when it is received. A 3PL receipt that has no lot or expiry where one is needed is not refused: it waits under Needs details until you enter them. See Chapter 5 and Chapter 9.
  • On the vendor's PO. The purchase order PDF says under each line whether the vendor must give a lot number or an expiry date on delivery.

Labels, pick lists and bins

  • Labels. Inventory › Labels prints product and batch labels with a barcode and a QR code: 2" x 1", 2.25" x 1.25" and 4" x 6" for label printers, or Avery 5160 and 5163 sheets. The barcode is the product's scannable code, so a label scans in Receiving. See How to print labels.
  • Pick lists. Inventory › Pick List lists what to take off the shelves for a WFS transfer, a removal or a sales order, sorted by bin, as a list on screen or a PDF to print. It reserves and moves nothing. See How to make a pick list.
  • Move part of a batch to another bin. Inventory › Bin Transfer moves a whole batch or only some of its units; the moved units keep their receipt date, lot, expiry and cost. See How to move stock to another bin.
  • Rename a container type that products already use (Settings › Container Types, Admins). See How to manage container types.

Money

  • Cash-flow warning. Save your starting cash on Reports › Cash Flow and the app e-mails you when the next 30 days' projection goes below zero. See Chapter 8 and How to choose e-mail notifications.
  • Business expenses. Analytics › Expenses records costs that belong to no product - software, advertising, supplies - once or every month, quarter or year. The Executive Summary shows them and the profit after them; your other figures do not change. They can go to QuickBooks as bills. See How to record business expenses.
  • Break-even scenarios. On a product's break-even calculator, save sets of inputs under a name and compare them side by side. See Chapter 4.
  • Reports by e-mail. Settings › Operational › Scheduled Report E-mails sends chosen reports as a PDF every week or month, or a weekly digest, to the users who may see them. See How to e-mail reports on a schedule.

Walmart

  • A scheduled pull. The app can pull your Walmart orders and the newest settlement report every 6 hours, 12 hours or day while it runs, also in the tray. Nothing is saved until you click Review & import. It is off until an Admin switches it on. See How to pull from Walmart on a schedule.
  • Orders Walmart changed after you imported them - cancelled, partly cancelled, refunded - are listed when you review a Walmart pull. An Admin applies a cancellation (the units go back to stock, the revenue is removed); refunds are shown only. See Chapter 9.
  • Warehouse health over time. Reports › WFS Health charts the health day by day; products below your threshold raise a Dashboard alert and an optional e-mail.
  • Walmart's seller performance (Beta). Reports › Seller Performance also shows Walmart's own on-time delivery, valid tracking, response and cancellation rates with Walmart's levels, and the Dashboard warns when Walmart marks one Monitor or Urgent.
  • WFS inbound shipments from a purchase order (coming soon). Create the inbound order at Walmart from a PO instead of typing it into Seller Center - shown as Coming soon until it has been tested with Walmart, then switched on by an Admin. See Chapter 9.

Big files and long jobs

  • Imports run in the background with a progress bar - sales, settlements, products, purchase orders and warehouse invoices - so you can keep working, also in other windows. A second import of the same company waits for the first.
  • Sales and settlement files up to 100 MB (other import files up to 25 MB), read row by row.
  • A long import that stops part-way keeps what it saved. Sales and settlement files are saved in parts of 2,000 lines: if something goes wrong, the message says how far it got, the Import History shows Partial, and importing the same file again finishes it without doubling anything. See How to commit the import.
  • Exports of products, purchase orders, sales orders and settlement rows are prepared in the background and saved when they are ready.
  • Backups and restores show their progress as before and now run the same way as the other long jobs. Work that was running when the app was closed is stopped, never repeated by itself: the screen says so and you start it again.
  • The Global view reads your companies four at a time, so its totals and reports come back sooner with many companies. Screens open faster too: the app keeps its database connections ready.

Getting help

  • A support file. About › Send to support › Make a support file saves a file with the facts support needs (version, system, settings, the latest log) and none of your data, ready to attach to an e-mail. See How do I make a support file?

Updating your data

  • The first start of this version updates your databases once, after the backup before the update. It adds what the new features need (business expenses and their categories, the records of background work) and changes none of your figures: stock, costs, sales, settlements and profit stay exactly as they were. A backup made by this version cannot be restored by an older one.
